Terms of Payment

BOOKING AND PAYMENT OPTIONS:
After the booking has been confirmed by the HOC, an invoice will be issued for 40% of the total amount. The booking will be considered provisional until the amount has been credited to our bank account. Therefore, the Organizing Committee reserves the right to modify or cancel the booking until that time.

BOOKING CONFIRMATION:
The booking will be definitively confirmed upon receipt of the 40% payment. To speed up the confirmation process, please send a copy of the bank transfer receipt to accommodation@canoemilan2025.com.

BALANCE AND INVOICING:
The Organizing Committee will then send an updated proforma invoice showing the payments credited to our account. The booking remains provisional until the full amount due has been received. Once the balance has been received, the booking will be definitively confirmed.

The currency of the account is Euro, so please ensure that your payment is made in Euros. Invoiced amounts must be paid in full without the deduction of transaction fees. Please make sure that transaction fees are covered by yourself. It is your responsibility to pay these extras when transferring money into our bank account.

Please ensure you verify the banking details on the pro forma invoice and transfer the appropriate balance to the bank account listed below. The HOC does not intend to change its banking details or request funds to any other account. If you receive a proforma invoice instructing payment to a different account, please report it immediately so we can take the necessary legal actions.

CANCELLATION TERMS
Should you cancel or modify your hotel booking, a charge will be made equivalent to any loss suffered by the Organising Committee, as itemised below. The amount of the cancellation fee will be calculated as a percent of the accommodation package fee according to the following period of notice given:

Please, note that if you submit your room reservation after the reservation deadline (28st February, 2025) and we are able to confirm your request, the relevant cancellation terms will come into effect immediately from the moment of your reservation
